The Challenge

For over 8 years, the team ran their entire event operation through a spreadsheet. Event data was imported from Salesforce, attendee preferences came from a separate app, and everything was manually copied into a single sheet where meetings were coordinated.

The spreadsheet had matching logic built in to assign meetings based on preferences, but it was increasingly unreliable. As the business grew — bigger events, more attendees, more of them — the logic couldn’t keep up. In the week before each event, staff were working until 2am manually correcting the output, chasing conflicts, and fixing errors that only surfaced at the last minute.
